Organizing Assets

The Organize action is used to add, move, or remove assets from folders.

Add to folder

If an asset exists in multiple folders, users with any of these folders will be able to access the asset.

When an asset that resides in a folder is added to a new folder, it can now be viewed in both locations. Assets that live in multiple folders are not unique assets.

  1. Create a selection of assets.
  2. Use the action menu on the selection bar; choose Organize.
  3. Select Add to folder.
  4. Use the folder tree to select the assets' new folder location, or create a new folder.
  5. Click Save
  6. Click Yes to complete the organize action.

Move to folder

Moving removes an asset from all current folders, then adds it to the chosen destination folder.

  1. Create a selection of assets.
  2. Use the action menu along the selection bar; choose Organize.
  3. Select Move to folder.
  4. Use the folder tree to select the assets' new folder location, or create a new folder.
  5. Click Save
  6. Click Yes to complete the organize action.

Remove from folder

Remove from folder exorcises the selection from the chosen folder; the assets will remain in any other folder they are stored in. 

  1. Create a selection of assets.
  2. Use the action menu along the selection bar; choose Organize.
  3. Select Remove from folder.
  4. Use the folder tree to select the folder you wish to remove the asset from.
  5. Click Save
  6. Click Yes to complete the organize action.

If you are removing an asset from its only folder, the asset will be deleted. Check whether an asset exists in multiple folders on its detail page

  1. Navigate to the Folders tab of an asset's detail page
  2. Click the upper-left plus button.
  3. Use the folder tree to select a new folder, or create a new folder.
  4. Click Save.

Remove from folder

Remove from folder exorcises the selection from the chosen folder; the assets will remain in any other folder they are stored in.

  1. Navigate to the Folders tab of an asset's detail page
  2. Use the action button for an existing folder.
  3. Click Remove from folder.
  4. Click Yes.

If the folder is the only folder the asset is stored in, the option to remove the asset will not exist when using the action button.

Duplicate filenames and assets

  • If you add or move an asset into a folder that contains the same filename, you’ll be prompted to skip or rename it (e.g., file-1.jpg). This dialog shows thumbnails, sizes, and import dates for both the existing asset in the folder and the new asset you want to add or move.

  • If you choose to rename, a number will be appended to both the filename and name, unless the asset has a custom name — in that case, the name stays the same.
  • If an asset is added to a folder and you choose to rename it, the asset will be renamed in all folders.
  • Duplicate assets (regardless of filename) will not be added to folders, but will be included in the total assets added message.
  • If a duplicate asset is moved to a folder, it will be singularly relocated there and removed from all other folders.
